NUMBER: 16-7-2 APPROVED DATE: 08-30-1995

PURPOSE:  To explain Trident Technical College's (TTC) transcript issuance guidelines.

The authority to issue as well as certify the authenticity of student transcripts resides solely with the Registrar's office. The Associate Registrar/Student Services Compliance Officer will assume such authority in the absence of the Registrar.

  1. OFFICIAL TRANSCRIPTS
The Registrar's office releases official transcripts in accordance with the Family Educational Rights and Privacy Act of 1974, except as required by court order or subpoena.  External third party requests for a student transcript require written authorization from the student.
  2. UNOFFICIAL TRANSCRIPT ISSUED TO STUDENT
Unofficial transcripts issued to students will include an academic history and an "Issued to Student" designation. Transcripts issued to students do not include the Registrar's signature or the TTC College Seal, and are only given to the student initiating the transcript request.
  3. ADVISOR TRANSCRIPT
An advisor transcript includes a student's academic history and a "For Advisor's Use Only" designation. Advisor transcripts do not carry the Registrar's signature or the TTC College Seal.  Advisor transcripts are restricted to appropriate college personnel.  Advisor transcripts are for internal college use and are not releasable to a student or anyone acting on a student's behalf.
  4. REQUESTS
A student requesting the issuance of an official transcript must submit a transcript request form to the Registrar's office or request an official transcript online from the National Student Clearinghouse.  If the student is unable to obtain a transcript request form or go online to complete a request, then the Registrar's office will process a signed correspondence from the student that contains information pertinent to the transcript request.  The Registrar requires proper photo for submitting and picking up official transcripts in person.
  5. RECORD KEEPING
The Registrar's office maintains records of the issuance of transcripts for six months prior to disposal.
  6. TRANSCRIPTS - EXTERNAL INSTITUTIONS/AGENCIES
Transcripts and/or credentials from other institutions or agencies become part of a student's TTC academic record (see TTC Procedure 16-7-1). The Registrar will not release external documents or copies for a student or anyone acting on a student's behalf.
