BASED ON POLICY NUMBER AND TITLE:  3-1-0 USE OF INFORMATION TECHNOLOGY RESOURCES

Purpose

The purpose of this policy is to establish guidelines for the responsible, ethical, and compliant use of Artificial Intelligence (AI) at Trident Technical College (TTC). AI tools may be used to enhance efficiency, creativity, and learning, provided such use aligns with college policies, applicable laws, and standards for data privacy, academic integrity, and information security.

Scope

This policy applies to all TTC employees, faculty, students, contractors, and affiliates who use AI tools, systems, or services in the course of performing work, instruction, research, or administrative activities for the College.

Roles and Responsibilities

The Division of Finance and Business Affairs, through the Information Technology Department, shall maintain and make readily available a list of TTC-approved AI software and internal-use systems, along with any associated use restrictions. The use of unapproved AI systems, including personal or third-party accounts, is prohibited. The IT Optimization and Innovation Committee shall provide oversight, evaluate AI use cases, and ensure compliance with state and federal regulations.

Acceptable Use

AI tools shall be used in a manner that supports TTC’s mission, enhances learning and operations, and complies with all relevant College policies. Faculty shall define and communicate expectations for AI use within their courses, ensuring alignment with TTC’s academic integrity standards and program-level learning outcomes.

Prohibited Use

Use of TTC data, protected student, employee, or institutional information, and any unapproved third-party AI system or personal account is strictly prohibited. TTC data may not be uploaded, entered, or used to train external AI models or systems, whether through personal subscriptions, consumer-grade applications, or online AI services.

Privacy, Security, and Data Protection

All AI use must comply with TTC’s Information Security Plan (3-1-3), Information Technology Resources Policy (3-1-0), and Data Breach Response Plan (3-1-4). Users must protect confidential, personally identifiable, or sensitive data at all times and report any suspected data breach or misuse of AI systems immediately to the IT Help Desk.

AI Attribution and Disclosure

Users are required to disclose substantive AI assistance in academic or professional outputs when AI contributions affect authorship, interpretation, or originality. Routine administrative, formatting, or drafting assistance by institutional AI tools does not require citation or disclosure.

Governance and Oversight

The IT Optimization and Innovation Committee, under the Division of Finance and Business Affairs, and General Counsel shall ensure that TTC’s use of AI aligns with institutional values, legal obligations, and accreditation standards. No program or department may establish independent AI policies that conflict with or supersede this institutional policy.

Violations

Failure to comply with this policy may result in disciplinary action up to and including termination of employment, loss of system access, or other actions as appropriate under TTC and state policies. Student violations involving academic integrity will be handled per TTC’s student conduct and faculty procedures.
