5-2-1 Inviting External Guests to Trident Technical College Events

BASED ON POLICY NUMBER AND TITLE
     


PURPOSE: To ensure that Trident Technical College personnel follow protocol and that TTC-sponsored events include appropriate external audiences.

  1. This procedure applies to college events to which individuals external to the college are invited and to community events that the college is co-sponsoring. The college employee who is serving as the coordinator or the college's representative is responsible for ensuring that invitations are sent to appropriate external audiences.
  2. The college coordinator or representative must submit the complete list of external invitees to the President's office six weeks prior to the event. The list must be organized by category or group (for example, Area Commission, Charleston county mayors, Berkeley county school board) and include the following:
    • Name and Title
    • Company or Government Agency affiliation
    • Complete mailing address
  3. The college coordinator or representative is responsible for the accuracy and completeness of addresses for categories or groups not maintained in the President's office address database. The college coordinator or representative should obtain standard address format or protocol from the President's office.
  4. The President's office will return the list to the college coordinator or representative with one or more of the following notations:
    • Approved as submitted
    • Approved with noted additions or deletions
    • Approved with noted corrections
    • Not approved as submitted. The President's office will provide information concerning resubmitting the list for approval after indicated concerns have been met.
