PURPOSE: To provide detailed information on how to prepare the "on-line" requisition on the Colleague Financial purchasing system to purchase goods or services.
CREATING A REQUISITION:
This "on-line" document notifies the Procurement Office that an office or department desires a specific item or items. Include in the requisition specific and complete information on the commodity or service desired such as quality, specifications, and delivery date. (Refer to the Colleague Financials Guide for detailed instructions on entering and tracking requisitions and purchase orders.)
Descriptions. Enter complete descriptions of all items including make, model, catalog number and any other applicable information.
When any item requisitioned has to be compatible with existing equipment, clearly explain the reason in the requisition. Also fully explain a request for a specific brand or model (permitting NO substitute).
When items are to be bid include complete specifications and forward catalog sheets to Procurement.
In order to be processed, all requisitions must be approved "on-line" by the proper budget administrator. (Refer to Colleague Financials Guide for detailed-instructions on approving requisitions.)
